Scope: This policy applies to all clients of Finance Prospects, including self-employed individuals, small and medium-sized enterprises (SMEs), and any other entities sharing sensitive data with us.

• Collocated Servers: All sensitive data, including client documents and IDs, are stored on a collocated server based locally. This server is strictly for data storage and does not have internet access, ensuring an added layer of security.
• VPN Access: Access to this server is secured via a Cisco VPN, allowing only authorised personnel to access the data through a secure and encrypted connection.
• No Cloud Storage: To further enhance security, we do not store any sensitive data in the cloud.

Email Security:

• Office 365 Encryption: All our emails are encrypted using Office 365 encryption, ensuring that any information sent via email is secure and inaccessible to unauthorised parties.
• Server-based Email Storage: Emails are stored on the same secure server as our VPN, adhering to the same rigorous access and security protocols.

Firewalls and Security Measures:

• Robust Firewalls: We employ both soft and hard firewalls to prevent unauthorised access from outside our network.
• Device Security: No sensitive data is stored on local hardware such as laptops or PCs. In the event of loss or theft of a device, your data remains secure and inaccessible

Incident Response:

• In the unlikely event of a data breach or security incident, our IT team is equipped to immediately isolate our servers for both files and emails, effectively containing and addressing any potential threats.

Compliance:

• Not only do we adhere to specific Australian regulations, but we also exceed standard security measures and are committed to upholding the principles of data security and client confidentiality. Our insurance requires we have regular audits to ensure security remains up to speed.
